January updates

Time to show some more updates we've been working on!

As usual, we've made many improvements behind the scenes, as well as some more visible additions:

Reordering Subsites in the Subsites Bar

If you're working with many subsites, the top bar can show many subsites you're member of but might not need very often. Up until now, subsites you are member of were always shown in alphabetical order (with the Home and current subsite being shown first).

To make it faster to switch between subsites you use most often, it is now possible to "pin favorite subsites", under Site Settings > Site > Pin favorite Subsites. Those subsites will be shown first in the top bar (while keeping their alphabetical order). Individual users can also override this under My Preferences > Pinned Subsites.

Working with External Users

Sometimes you don't just want to share information internally, but also set up an area to share or collaborate with clients, contractors or other people external to your organization.

With Papyrs you can simply use subsites for this: just create a subsite with information you want to share with external users, whether that's just a page or two, or a complete knowledge portal for your clients.

In most cases you want to make sure external people can't access anything besides that one (or multiple) subsites you've created for them. You can use the default permission controls for this, but we've added another handy setting to lock things down further, with just one central setting. You can find it under Site Settings > Site > Work with external users and restrict their access. Once enabled, people are automatically considered External if they don't have an email address on your organization's domain.

For example, erica @acme.inc is invited to a subsite Client Portal when only addresses @company.hq are considered as part of the company. Because her email address does not end in @company.hq, she's considered external, access restrictions will automatically apply, and an External badge will be visible on her profile card:

Copying folders to subsites

You can copy a page by clicking Page ▼ > Copy Page, but sometimes you might also want to copy an entire folder full of pages.

For example, you could have a subsite with template pages for each new project. Whenever you launch a new project, simply create a new subsite and copy all the template pages over.

You can find the new Copy Folder feature by clicking the folder icon in the Pages overview, and then clicking Copy Folder to Subsite.
